Job Description

The Receptionist will be responsible for welcoming guests, answering phone calls, and providing administrative support to the company. This role requires excellent communication skills, professionalism, and the ability to multitask in a fast-paced environment. The Receptionist plays a key role in creating a positive first impression and ensuring the smooth operation of daily office activities.

Key Responsibilities:

  • Greet and welcome guests with a friendly and professional demeanor.
  • Answer and direct phone calls to the appropriate person or department.
  • Provide information to visitors and assist with inquiries about the company.
  • Manage the reception area, including keeping it clean, organized, and presentable.
  • Receive and distribute mail, packages, and deliveries to appropriate recipients.
  • Schedule appointments and maintain calendars for conference rooms and company events.
  • Assist with administrative tasks, such as data entry, filing, and photocopying.
  • Coordinate with other departments to ensure efficient communication and workflow.
  • Handle general inquiries and provide support to employees as needed.
  • Monitor office supplies and place orders as necessary.

Requirements:

  • High school diploma or equivalent.
  • Prior experience as a receptionist or in a customer service role preferred.
  • Excellent communication and interpersonal skills.
  • Professional appearance and demeanor.
  • Ability to multitask and prioritize tasks in a dynamic environment.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Attention to detail and accuracy in completing tasks.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
